To ensure only relevant communications are synchronized, you can manage two lists:
Allow List: It is a user-configurable list of domains that determines which external contacts can trigger the creation of new stakeholders during email synchronization. Only emails from senders included in this list will result in stakeholder creation in Borealis. Other email addresses that are not linked to a stakeholder will not create new stakeholders.
-
Block List: It is a list of email addresses or domains that are completely excluded from synchronization. If a sender or any recipient is on the Block List, their emails will not be synced at all, even if other recipients in the same email are allowed.
Note: Emails from block list can still be manually pushed using the Outlook add-in.
Configure Allow and Block Lists
- Click on your User Profile icon in the right hand corner of the top bar.
- Click on View profile.
- In the left hand menu, click on Integration.
- If you have not set up your integration yet, click on Link Microsoft account to create the link.
Click on the Configure list on any Allow List / Block List.
Add or remove email addresses or domains.
Save changes.
This ensures sensitive or irrelevant communications do not enter Borealis.
Tip: When engaging with a new organization, consider adding its domain to your Allow List. This ensures that all emails from that domain are automatically synced to Borealis, even if the stakeholders don’t yet exist in the system. They’ll be created automatically, saving you time and reducing manual data entry.
This is especially useful when you've initially interacted with just one person, but as the project progresses, you're likely to engage with more individuals from the same organization.
