Create and Configure Notifications

Email notifications in Borealis keep users informed of key events such as new task assignments, status changes, and overdue records. Borealis includes a standard set of pre-configured notifications that Superusers can activate in a single step. Custom notifications can also be created to cover scenarios not included in the standard set.

Users can manage their own notification subscriptions at any time from their profile. See Managing Your Email Notification Preferences for details.

Create a Custom Notification

  1. Navigate to Email Notifications in Configuration.

  2. Click the Create button.

     
  3. Fill in the General information fields:
    • Name: Enter a name for the notification.
    • Form: Select the form to use as the basis for this notification. This determines which fields and trigger options are available in the Rules section.
    • Status: Defaults to Draft. The notification will not send until it is activated.
    • Description: Optionally add a description.
  4. Fill in the Rules fields:

    Trigger: Select how the notification will be triggered. Two options are available:

    • Triggered on a date (reminder): Sends the notification based on a date field on the record, for example as a reminder a set number of days before a due date. Fill in the Date to compare to, Number of days, Before or after, Repeat, and optionally the Send only when status of record is fields.
    • Triggered by an action (instantaneous): Sends the notification immediately when a specific event occurs. Note that notifications are not triggered for actions performed by the user who initiates them. Fill in the Action field (Created, Updated, Deleted, or other actions depending on the form selected) and optionally the Link analytics report field to attach a scheduled report to the email.
  5. Under Notification content, check Customize the content of the notification if you want to define a custom body for the email. If left unchecked, the default notification format will be used.
     
  6. Under Recipients, click + Add a recipient. At least one recipient is required. For each recipient, select a recipient type:
    • Profile: All users whose access rights match the selected profile will receive the notification.
    • User: A single specific user selected from the list.
    • Role: All users assigned the selected role. Since the same role may be held by different users across different records (for example, a Relationship Manager varies by stakeholder), the correct person is notified for each record.
    • User group: all users member of the user group will receive the notification.
    • User group - responsible person: all users, responsible person of the user group will receive the notification.

 

Activate a Notification

 

Newly created notifications are saved with a Draft status and will not send until activated.

  1. Navigate to Email Notifications in Configuration.
  2. Select and open the notification you want to activate.
  3. Click the Actions button and select Activate.

The notification will begin sending emails to recipients when its trigger conditions are met.

 

Reactivate a Notification for a User

Users can opt out of notifications from their profile. If a notification is critical to a user's role, Superusers can view that user's preferences and reactivate the notification on their behalf.

  1. Navigate to Email Notifications in Configuration.
  2. Select and open the relevant notification.
  3. Open the User subsriptions section for the notification.
  4. Locate the user whose subscription you want to reactivate.
  5. Toggle the notification status back to Active for that user.
