View Communications Entered for Other Projects

The Borealis Team Data Segregation - TDS - empowers you and your teams to create multiple projects and define user access for each project to improve data confidentiality. An issue that can come up results from individuals and organizations often becoming relevant stakeholders in multiple projects simultaneously.

While the primary stakeholder record can be shared across relevant projects, communications are typically recorded within a specific project. Consequently, unless a user has access to all projects in which that stakeholder is involved, they may only have a partial view of the engagement process with that stakeholder as communications created by users in other projects are not visible to them.

As a result, multiple staff members from the same organization may engage with the same stakeholder at various times and across different topics and projects which can lead to confusion and misunderstandings.

Comms (Limited access) has been added to the records of Individuals and Organisations of the Stakeholder engagement module which allows users with proper project access, to identify interactions conducted with their stakeholders for other projects through metadata related to communications.

View Communication From Other Projects

  1. Navigate to either Individuals or Organisations in Stakeholder engagement.
  2. Select and open the record of the stakeholder for whom you wish to validate whether they were contacted for another project.
  3. In the left hand record menu, select Comms (Limited access) under Engagements.

The list of communications will be displayed which includes:

  • Reference number
  • Date
  • Staff members involved

You can then use this information, as needed, to reach out to your fellow team members and inquire about the nature of their interaction with the stakeholder.
