The Additional assignees field is hidden by default and needs to be made visible in the Fields configuration form.
Tasks allow you to create and track actions that need to be performed by you or by one of your co-workers. As such, you can assign it to yourself or to someone else using the Assigned to field and designate that person to be responsible for carrying out the task.
You can also use the Additional assignees field to add additional people to work on a task. By doing so they will be added to your existing task. This means that no additional tasks will be created for each additional assignee and they will enter follow-up and checklist item information on the existing task.
It is important to note that regardless of additional assignees, the field Assigned to defines who owns and is responsible for the task.
Use Cases
Several situations can leverage this field to improve your processes:
- If an assignee is a more junior employee who could benefit from on-boarding or additional support to face an unusual situation, their supervisor or a more senior employee can be added as an additional assignee to work on the task with them.
- A manager who needs to delegate a task but is still responsible for it can designate one of their staff as an additional assignee.
- You and a colleague could both perform a task but, depending who has availability, you could add them as an additional assignee to complete the task.
IMPORTANT: The “Assigned to” always remains the owner of the task.
Add an Additional Assignee to a Task
You can either add an additional assignee during task creation or after a task has been created.
- Open the task to which you want to add an additional assignee.
- Click on the Edit icon in the upper left corner of the General information page.
- Scroll down to the Additional assignees field.
- Use the drop-down list to add one or several additional assignees.
- Click the Save button.
