Manage Stakeholders in Your Assessment Program

After activating your assessment program you can add stakeholders to it.

Add a Stakeholder to Your Assessment Program

  1. Navigate to Assessment programs in Stakeholder engagement.
  2. Select and open the assessment program to which you want to add a stakeholder.
  3. In the left hand record menu, click the + Add in-line option for Stakeholders OR select Stakeholders and click the + Add option in the Stakeholders information page.
  4. In the Stakeholder(s) drop-down list, select the stakeholder you want to link to this assessment program OR Create a new individual using the + Create button.
  5. If you want to assess the stakeholder immediately, flag Assess the stakeholder.
    1. Change the Assessment date if it is not correct.
    2. Click on a value for each assessment axis.
    3. Add Assessment comments if necessary.
  6. Click the Save button.

 

Deactivate or Reactivate a Stakeholder in Your Assessment Program

You can deactivate a stakeholder within a program to preserve the historical assessment while preventing it from being assessed again. This is useful if the stakeholder is no longer part of the program.

It is always possible to reactivate it later if the stakeholder should be part of the program again.

  1. Navigate to Assessment programs in Stakeholder engagement.
  2. Select and open the assessment program in which you want to deactivate or reactivate a stakeholder.
  3. In the left hand menu, select Stakeholders.
  4. In the Stakeholders information page, mouseover the stakeholder which you want to deactivate or reactivate.
  5. Click the deactivate or reactivate button on the right hand side of the page.
  6. Add a comment, in applicable for the deactivate action or the current assessment for the reactivate action.
  7. Click the Deactivate or Reactivate button.

 

Manage Multiple Stakeholders in Batch

It is possible to quickly select multiple stakeholders to proceed with different actions, depending on the user's access and the selected stakeholders. You can choose to re-assess, edit, deactivate, reactivate, or remove stakeholders.

  1. Navigate to Assessment Programs in Stakeholder Engagement.
  2. Select and open the assessment program where you want to perform batch actions on stakeholders.
  3. In the left-hand menu, select Stakeholders.
  4. In the three dots in the top-right corner of the stakeholder grid, select Select Multiple.
  5. Select the stakeholders you would like to perform the action on.
  6. Choose the action you want to take.

Note: For the Re-assess and Edit actions, you will need to select the new or corrected assessment for each selected stakeholder. At the top of the window, you will see the name of the stakeholder you are currently assessing, and at the bottom-right corner, the number of stakeholders left to re-assess or correct.

 

The following actions are only available for users with either of this profiles: Superuser, SE - Administrator or SE - Assessment manager.

Edit a Stakeholder Assessment

You can edit a stakeholder assessment to correct information as needed. If the stakeholder assessment has changed, you should re-assess the stakeholder instead.

  1. Navigate to Assessment programs in Stakeholder engagement.
  2. Select and open the assessment program in which you want to edit the assessment of a stakeholder.
  3. In the left hand menu, select Stakeholders.
  4. In the Stakeholders information page, mouseover the stakeholder for which you want to edit an assessment.
  5. Click the Edit button on the right hand side of the page.
  6. Correct information as needed.
  7. Click the Save button.

Remove a Stakeholder From Your Assessment Program

After deactivating a stakeholder, you can remove it from your assessment program. Only do this if the stakeholder was added by mistake or if you do not want to keep the information on their assessment history, as all historical assessments will be deleted.

  1. Navigate to Assessment programs in Stakeholder engagement.
  2. Select and open the assessment program from which you want to remove a stakeholder.
  3. In the left hand menu, select Stakeholders.
  4. In the Stakeholders information page, mouseover the stakeholder you want to remove.
  5. Click the Remove button on the right hand side of the page.
