Work With List Pages of Records

Record list pages are found throughout the Borealis application. They contain the list of records of a specific register. For example, the Individuals register contains a list of all Individuals records in Borealis.

As you and your team enter new data in Borealis, the registers will grow and eventually reach several pages. Several options are available to sort, access, update, and display information necessary for your day-to-day work.

Working With Records from Your List Page

You can do a number of actions from your list page such as creating records, deleting records, or deactivating records

Several other options may be available on the right hand side of a record when you mouseover the line of a record.

Change the Display of Your List Page

The first time you access a list page, the default view will be Summary. Once you change it, Borealis will retain your selection so that the next time you access this list page, it defaults to your new view.

You can use 3 different types of display for your list pages:

  • Summary: This is the default display for your list page. It presents general information such as the name of the record, the person who created or last modified the record, and the status of the record.
  • Detailed: This display lets you view detailed information on each record from the list page. The type of information available depends on how your superuser configured the columns displayed for you and your team.
    The Detailed view also lets you use the column headers of your list page to sort the records and to filter/search for specific records directly in the list page.
  • Map: This display lets you view the geographical position of records in your list page. You can click on the map pin to zoom in towards a location. As you zoom in, the detailed information of the location will become more specific.

Use Sorting for Your List Pages

You can use the sort menu to either sort the content of your list page in Alphabetical order or by the most Recent records added or modified. Available sort options may vary based on the list page and the display type.

  • Recent: This option lets you sort records in your list page by the most recent down to the oldest. This can be especially useful when you want to view recently created or updated records.
  • Alphabetical: This option lets you sort records in your list page in alphabetical order.

Use Quick Filters for Your List Pages

Quick filters are available from the Quick filters line. They allow you to quickly narrow down your list page to records matching the specific list of criteria you selected. 

Several quick filters can also be available based on the type of records you are viewing or the modules included in your application. A few examples of quick filters your list pages may have are:

  • Assigned to me: You can use this filter to display the list of records assigned to you which can be accessed from this list page.
  • Created by me: You can use this filter to display the list of records you have created which can be accessed from this list page.
  • Active: You can use this filter to display the list of records with an Active status which can be accessed from this list page.
  • Inactive: You can use this filter to display the list of records with an Inactive status which can be accessed from this list page.
  • Potential duplicates: You can use this filter to display the list of stakeholders for which Borealis identified may be duplicated in this list page. These potential duplicates should be managed.

Use Column Headers to Sort and Filter Your List Pages

In Detailed view, you can click on the column headers of your list page to sort the content of your list page by that column or to filter based on the content of the column.

  • Sort ascending: This lets you sort the data in your list page based on this specific column, and in increasing values. For example, using this for numbers will go from smaller values and increase towards bigger values. This is not available for every column, depending on the data type.
  • Sort descending: This lets you sort the data in your list page based on this specific column, and in decreasing values. For example, using this for numbers will go from bigger values and decrease towards smaller values. This is not available for every column, depending on the data type.
  • Filter: This field lets you filter the data displayed in your list page based on a specific value entered in this field. For example, this could be either a complete or partial individual's name. 

Additional options are available:

  • Is empty: Flagging this option lets you filter data displayed in your list page based on it being an empty value.
  • Clear filter: Clicking this option lets you clear the used filter and resets the data displayed in your list page.

Select Multiple Records in Your List Pages

Most list pages allow you to select multiple records.

You can click the Select multiple button in the upper right corner of the list page and flag each record you want to modify in batch, then select the action to perform.

This is especially useful when you want to batch update several record with similar information, link several records to communications, organisations, distribution lists, smart communications, issues, commitments, activities.

Different types of actions will be available depending on which list page you are working in.

Import and Export the Content of Your List Pages

The Tools menu lets you perform several types of import and export for your list pages.

The list of available options may vary depending on the list page you are viewing.

Configure the Columns Visible in Your List Pages

  • You can customize your list pages (for example the Individuals list page, the Communications list page, etc.), to improve the manner in which the information is displayed and facilitate data understanding and analysis when working in your list pages.
  • A superuser can customize the list pages of all the users of the Borealis instance (for example the Individuals list page, the Communications list page, etc.), to standardize and improve the manner in which the information is displayed and facilitate data understanding and analysis. 

You can then customize your own list page after a superuser has customized the list pages for everyone. Each list page is customized separately.
