Start and Manage Task Chains in Records

Easily track progress and drive workflows using task chains within your records. This guide explains how to start, manage, and understand the status of task chains linked to an Engagement Plan, Issue, Grievance, Community Contribution, or Agreement record.

Start a Task Chain

  1. Open a record (e.g., an Engagement Plan).
  2. Go to the Task Chain tab.
  3. Click Start task chain.
  4. The first task appears automatically and the status becomes In Progress.

Note: You can also start a task chain when creating a record by choosing the task chain in the Task chain field.

Track and Manage Tasks

Each task must be completed or marked as unfinished to move to the next.

You can manage the chain in two ways:

From tasks

Task chain status = On Hold

Need to do an other action on the task to continue.

UnfinishedMarks task as unfinished (closed)Moves to next task (or completes the chain if this is the last task).
CancelCancels this taskTask chain status = Cancelled (stops chain).

From the task chain section

Return to previous taskReopens the previous task, if there is one.
Cancel task chain

Stops the chain immediately - Status = Cancelled.

All the closed tasks (Unfinished or Completed) will remain linked to the record.

Task Chain Statuses Explained

StatusHow it happensWhat it means

On holdCurrent task is put on holdThe whole chain is paused until the task is resumed.
CompletedAll tasks are completed or marked as unfinishedThe workflow is done and a new chain can be started.
CancelledAny task or the chain is cancelledThe entire task chain stops immediately.

Limitations

Only one task chain can be active at a time for a single record. If you want to start another task chain on the same record, the current task chain must be cancelled or completed.
