Renew an Agreement

The Agreement Renewal Process in Borealis enables you to renew agreements that include renewal clauses while maintaining all agreement information within a single record. Rather than creating a new agreement, you update the existing one, thereby preserving historical data and facilitating reporting and payment planning.

This article provides instructions on how to renew an agreement.

Renew an Agreement

  1. Navigate to Agreements within Land Access.
  2. Open the land agreement you wish to renew.
Note: Expired or Rejected agreements cannot be renewed. Only agreements containing a renewal clause are eligible for renewal.
  3. Click the Actions menu.
  4. Select the Confirm renewal option.

Note: Confirm renewal option is only visible if the agreement has a renewal clause and Does This Agreement Have a Renewal Clause? is set to 'Yes' in this agreement record.

  5. In Confirm renewal form, enter the New expiry date, Renewal notes and Comments and click Save.

Note: If the agreement can be renewed again, select the Does This Agreement Have a Renewal Clause? checkbox.

After the renewal is confirmed, the following changes are made to the agreement record:

  • The New Expiry Date becomes the agreement's Expiry Date.
  • Renewal process status is set to 'Not started
  • Renewal notes are updated.
  • If Does This Agreement Have a Renewal Clause? is selected, the Does This Agreement Have a Renewal Clause? field is automatically set to Yes.
