Permit Feature Information

A Permit is a legal authorization acquired for a project and may apply to the entire project or a specific subset of land units. The Permits section in Land Management allows you to track formal legal authorizations required for project activities, such as environmental permits, right-of-way authorizations, and regulatory approvals.

Key Features

  • Each permit is its own record type.
  • Each permit is linked to a single Land Project
  • Permits can apply to an entire project or selected land units.
  • Permits support status tracking, renewals, and expiration management.
  • Permits can be linked to related records and included in Communications
  • Permits support bulk import, duplication, and reporting through Analytics
  • Permits can be created directly in the Planned or Submitted status.
  • Permit fields can be configured to support your organization's business requirements.

📌Note:  Permit records do not include Conditions or Payment tracking.

Pre-requisite

You must have permit access assigned through your Land Management profile or a dedicated Permit - Guest or Permit - Data Entry profile.

Business cases

  • A compliance team at a mining company needs to track government-issued environmental permits for each project phase, including validity dates and issuing authorities, without creating unnecessary agreement or payment records.
  • A land manager at a utility company wants to monitor the status of right-of-way permits across multiple parcels and receive notifications before permit expiration dates.
  • A project coordinator at an energy company needs to link permits to specific parcels and company assets to maintain a complete view of land-related obligations in one place.
  • A regulatory affairs team needs to report on all active and expired permits across projects using Analytics, with the same level of reporting available for agreements.

Troubleshooting

  • The Permits section is not visible.
Contact your administrator to activate the feature.

  • I cannot create or edit permits.
You must have permit access assigned through your Land Management profile or a dedicated Permit - Guest or Permit - Data Entry profile

  • The Permit field is missing on the Communication form.
Your profile must include permit access. And check that the field is added to the Default fields list in General Configuration.

  • I didn't receive an expiration notification.
Notification rules must be configured by your administrator. Confirm a rule exists for permit expiration and that you are included in the recipients.

FAQ

  • How are permits different from agreements?
Permits focus on validity dates, issuing authorities, and compliance obligations. They do not include a negotiation stage, conditions, or payment sections. The workflow also differs slightly — permits use a "Submitted" status instead of "In Negotiation."

  • How is geometry managed for permits?
Each permit supports one of four geometry definitions, configured per permit type:

    • No geometry

    • Imported (from a shapefile)

    • Calculated from company assets / land units

    • Drawn / entered manually

Geometry updates automatically when a linked land units geometry changes or when a shapefile is re-imported.

  • Can I create a permit without going through every status?
Yes. The workflow allows some direct transitions — for example, you can move a permit straight from Planned or Submitted to Active, depending on your situation.

  • Will I be notified of status changes or expiring permits?
Yes. Notifications can be configured for both workflow status changes and permit expiration dates.
