Create and Edit Entries in a Data Dictionary

Requirements: Superusers and module administrators.

Your data dictionaries are the definitions and values used in your dropdown menus.

Some dictionaries are marked as Read-only. As they define some rules in the application, the values contained therein cannot be changed. Additionally, any values in the normal lists marked as System cannot be edited.

Create an Entry in a Data Dictionary

  1. Navigate to Data dictionaries in Configuration.
  2. Locate and open the data dictionary to which you want to add an entry.
  3. Click the General information + (Add) in-line or click the +(Add) in the Value list page.
  4. Specify Values in your organization's languages.
  5. Add Tooltips so your team members can get more information on the meaning of the values.
  6. You can specify the Order in which your value will appear in the drop-down list.
  7. You can also specify a Color for this value for graphics and maps.
  8. Click the Save button.

Edit Entries in a Data Dictionary

  1. Navigate to Data dictionaries in Configuration.
  2. Locate and open the data dictionary for which you want to edit its entries.
  3. From the list of Values in General information, open the value you want to to edit.
  4. Click the Edit icon.
  5. Modify the values as needed.
  6. Click the Close button.

Reorder the Values of a Data Dictionary

The entries in your dropdown lists are displayed alphabetically by default, but you can change the sequence. This could be use to put the values that are used more often at the top of the list for quicker access.

  1. Navigate to Data dictionaries in Configuration.
  2. Locate and open the data dictionary for which you want to reorder the values.
  3. From the list of Values in General information, open the value you want to appear at the top of the drop-down list.
  4. Click the Edit icon.
  5. Specify a low value for Order (e.g., 1).
  6. Click the Close button.
  7. Repeat for other Values using numbers in an ascending order (e.g., 1, 2, 3, 4, 5...)
