Requirement: SE-Grievance Portal profile to send follow-ups to the grievance portal
You can use the Borealis solution to interact with stakeholders who have filed a grievance through the grievance portal.
All interactions are kept in the Engagements menu of the Grievance record. By clicking Follow-ups in portal in the left hand record menu, you can identify the source of the message (incoming or outgoing).
When sending a follow-up to the portal, a message becomes available in the grievance portal as well as in the Borealis system. If the stakeholder flagged I would like to be informed by email of the progress of the case when filing the grievance through the portal, an email notification is also sent to the stakeholder.
To maintain data integrity and ensure accurate data keeping of communications sent to clients, once a follow-up has been sent to the grievance portal, some of the data can no longer be edited:
- Participants
- Description
- Date
Send a Follow-up to the Grievance Portal from Follow-ups in Portal.
- Navigate to Grievances in the Stakeholder Engagement module.
- Select the grievance you want to send a follow-up to from the list page.
- In the left hand record menu under Engagements, click on Follow-ups in portal.
- Click the Send a follow-up to portal button in the upper right corner of the information window.
- Fill in information in the Send a follow-up to portal window and select files to attach when relevant.
- Click the Send button.
Once the follow-up is sent, a new communication record is automatically created under Engagements in the left hand record menu.
Send a Follow-up to the Grievance Portal Using the Action Menu
- Navigate to Grievances in the Stakeholder Engagement module.
- Select the grievance you want to send a follow-up to from the list page.
- Click the Actions menu.
- Click Send a follow-up to portal option.
- Fill in information in the Send a follow-up to portal window and select files to attach when relevant.
- Click the Send button.
Once the follow-up is sent, a new communication record is automatically created under Engagements in the left hand record menu
